Attendee Terms and Conditions
Welcome to GameDev Summit (GDS),
one of the premier events in the world of game development and technology. Before you embark on your journey to GDS, please take a moment to familiarize yourself with the following Terms and Conditions governing the purchase and use of the Event Passes. These terms have been carefully crafted to ensure the smooth operation of the event, protect the rights of attendees, and maintain the integrity of the GameDev Summit experience.
By purchasing an Event Pass for GDS, you are entering into a legally binding agreement with the Event Organizer as well as other provisions such as the Privacy Policy, Terms of Use, Waiver of Liability, and General Terms and Conditions. It is essential to understand and abide by these terms, as they outline important details regarding event pass types, refunds, transfers, and more. Your cooperation helps us create a memorable and enjoyable event for all attendees.

1. Event Pass Types and Misrepresentation
- a. Selection of Correct Event Pass Type
Attendees are required to carefully select and purchase the Event Pass that corresponds accurately to their role, affiliation, or participation level at the GameDev Summit (GDS). GDS offers different types of Event Passes tailored to various categories, including but not limited to sponsors, vendors, buyers, guests, speakers, and general attendees. It is crucial that attendees choose the appropriate pass type that aligns with their status and involvement in the event.
- b. Misrepresentation Consequences
Misrepresentation of an attendee's status or participation in GDS, including but not limited to providing false information during the pass purchase process or attempting to access event privileges not granted by their pass type, will be considered a breach of these Terms and Conditions, and the Event Organizer reserves the right to take appropriate action in cases of misrepresentation to ensure fair access and participation for all attendees.
- c. Revocation of Pass Validity
In cases where unintentional or neglectful misrepresentation is identified, the Event Organizer reserves the right to revoke the validity of the Event Pass. In cases where willful or intentional misrepresentation is identified, the revocation shall include forfeiture of the right to refund.
- d. Responsible Purchasing
It is the responsibility of the attendee to ensure that they purchase the correct Event Pass type, and the Event Organizer strongly encourages attendees to review the event's pass options and descriptions carefully before making a purchase. If attendees are unsure about which pass type suits their role or affiliation, they should seek clarification from the Event Organizer prior to completing their purchase.
- e. Currency of Payment
All financial transactions related to the purchase of Event Passes will be conducted in Philippine Pesos (PHP). The conversion of any payment into PHP will be contingent upon the prevailing foreign exchange rates and associated processing fees at the time of the transaction, as determined by each attendee's respective financial institutions, bank, payment processor, and/or payment platform. Attendees are responsible for verifying and comprehending the foreign exchange conversion rates and any charges that are in effect at the time of their transactions.
- f. Pass Authentication
Upon arrival at GDS, attendees may be required to provide proof of their identity and affiliation with the event, including verification of their pass type. Attendees must be prepared to present valid identification, confirmation emails, or any additional documentation requested by event staff to confirm their eligibility for the privileges associated with their pass type.
2. Accommodations and Event Access
- a. Event Access and Privileges
The purchase of an Event Pass for GDS grants attendees access to the event venue during the specified dates and times. This access allows attendees to participate in the various sessions, products, presentations, networking opportunities, and activities that GDS has to offer. The specific privileges and inclusions associated with each pass type may vary and are detailed during the purchase process and in event-related materials.
- b. Exclusion of Accommodations
It is important to note that the purchase of an Event Pass does not include accommodations or any form of lodging in the vicinity of the event venue. Attendees are solely responsible for making their own accommodation arrangements, such as booking hotels, apartments, or other lodging options, as needed. GDS does not provide or manage accommodations for attendees but they may offer assistance to attendees as they deem fit to the circumstances.
- c. Travel Arrangements
Similarly, attendees are responsible for their own travel arrangements to and from the event location. This includes booking flights, train tickets, car rentals, or any other means of transportation required to attend GDS. Travel expenses are not included in the Event Pass purchase and should be budgeted and arranged independently by attendees.
- d. Attendee Preparation
We strongly advise attendees to plan their travel and accommodation well in advance to secure the best options and rates. Additionally, it is essential to review the event's schedule, program, and any pre-event information provided to maximize your GDS experience and make the most of your time at the event.
- e. Event Venue Details
Specific information about the event venue, including its location, facilities, and any additional services provided on-site, will be communicated to attendees closer to the event date through official GDS channels. Attendees are encouraged to stay informed about any updates and venue-related details to ensure a seamless and enjoyable event experience.
3. Age Requirement
- a. Age Restriction
The GDS is an event designed for professionals, enthusiasts, and stakeholders in the game development and technology industry. To maintain the event's focus and atmosphere, an age restriction has been implemented. Only individuals aged 18 and above are eligible to purchase and utilize an Event Pass for GDS.
- b. Age Verification
At the event venue, GDS staff may request valid identification to verify the age of attendees. Attendees should be prepared to present a government-issued photo ID or other appropriate documentation that confirms their age if requested.
- c. Responsibility of Attendees
It is the responsibility of each attendee to ensure they meet the age requirement before purchasing an Event Pass for GDS. Attendees who do not meet the age requirement may be denied entry to the event, and their Event Pass may be deemed invalid without eligibility for a refund.
- d. Youth Participation
While GDS values and encourages youth involvement in the field of game development, the age restriction is in place to create an event environment tailored to a more mature audience. Parents or guardians interested in bringing attendees under the age of 18 to GDS should be aware of the age requirement and consider alternative arrangements for youth participation in related activities or events.
- e. Event Content
Please be aware that some content and discussions at GDS may be oriented towards an adult audience. Attendees should review the event program and content descriptions to ensure that they are comfortable with the topics and discussions featured at the event.
4. Refund Policy
- a. Refund Request Deadline
Refund requests for Event Passes will only be accepted until October 1, 2024.
- b. Discretionary Refunds
GDS recognizes that attendees may occasionally make genuine errors when purchasing Event Passes, such as selecting the wrong pass type. In such cases, GDS reserves the discretion to evaluate refund requests based on the circumstances. Refunds for these types of errors are not guaranteed and will be reviewed on a case-by-case basis.
- c. Cancellation of the Event
In the rare event that GDS is canceled, all attendees who have purchased Event Passes will be eligible for a full refund of the pass purchase price. The refund will be processed promptly, and the original payment method used for the purchase will be credited unless an alternative payment method is requested due to the unavailability of the original payment method.
- d. Non-Refundable Passes
Except for conditions mentioned in these Terms and Conditions, Event Passes are generally non-refundable. This non-refundable policy applies to all pass types and purchases, regardless of the reason for the refund request.
- e. Reasons for Non-Refundability
Non-refundable Event Passes include but are not limited to situations where attendees are unable to attend the event due to scheduling conflicts, personal commitments, illness, unexpected emergencies, or any other similar circumstances outside the control of the Event Organizer.
- f. Refund Processing
Refunds will only be processed at the individual request of each attendee and shall not be done automatically. For eligible refund requests, refunds will be processed within a reasonable timeframe, and the original payment method used for the purchase will be credited unless an alternative payment method is requested due to the unavailability of the original payment method. Attendees are responsible for any transaction and processing fees associated with the refund. Any transaction fees associated with the refund and any processing fee incurred by the Organizer to process the refund shall be deducted accordingly from the total refunded amount.
- g. Late Requests
Refund requests submitted after October 1, 2024, will not be honored, and no refunds will be issued, regardless of the reason for the request except in the case provided in clause 4.c (Cancellation of the Event). Attendees are encouraged to plan accordingly and consider their commitment to attending GDS before the refund request deadline.
5. Transfer of Event Passes
- a. Non-Transferable Passes
Event Passes for GDS are inherently non-transferable and are intended for use solely by the attendees whose names are registered on the pass. These passes are personalized to match the attendee's identity, affiliation, and privileges, as specified during the purchase process.
- b. Prohibition of Unauthorized Transfers and Resale
Unauthorized transfers or resale of Event Passes are strictly prohibited. Attendees may not transfer, sell, or exchange their passes to other individuals, organizations, or entities, whether for financial gain or any other reason, without explicit written consent from the Event Organizer. Any attempts to transfer or resell Event Passes without authorization may result in the immediate cancellation of the passes without refund.
- c. Authorized Transfers Until January 20, 2025
Notwithstanding the above non-transferable policy, attendees are allowed to transfer their Event Passes to another individual until January 20, 2025, provided that such transfers are made in accordance with the following conditions:
- i. Transfer Process
The Attendee wishing to transfer their Event Pass must contact the Event Organizer/Customer Support and follow the designated transfer process. The Event Organizer will provide instructions and collect the necessary information to complete the transfer.
- ii. Transfer Limitation
Each Event Pass may be transferred only once. After the initial transfer, the Event Pass becomes entirely non-transferable and may only be used by the original Attendee.
- d. Transfer Deadline
The deadline for requesting transfers of Event Passes is January 20, 2025. After this date, Event Passes become entirely non-transferable and may only be used by the original Attendee.
By purchasing an Event Pass for GameDev Summit (GDS), you acknowledge that you have read, understood, and agreed to abide by these Event Registration Terms and Conditions as well as all other provisions mentioned herein. GDS reserves the right to modify or update these Terms and Conditions at any time without prior notice. It is the responsibility of the Attendee to review and stay informed about any changes to these Terms and Conditions.
